Waiting for an important letter? Check if your mail carrier has access to your mailbox to deliver the package or leave a notification if you're away. And if you're rarely home and don't have time to go to a Poczta Polska branch to pick up your mail, see below how electronic notification and delivery services work.
If you live in a single-family home and don't have a mailbox installed in a location accessible to the postman, you should address this as soon as possible.
Obligation to have a mailbox
Pursuant to Article 40 of the Postal Law, every owner or co-owner of a residential property or land on which a residential building is located is required to install a mailbox in an easily accessible location. Having a mailbox affects the quality and efficiency of mail delivery.
A mailbox must meet certain requirements. In single-family buildings, it should be located in front of the building's entrance or in a publicly accessible area. In multi-family buildings with more than three units, the mailbox must be located in a publicly accessible area. Each unit has its own mailbox.
That's what the law says. Unfortunately, postmen often face problems in their work due to the lack of mailboxes in single-family homes, the lack of property markings with street or town names and house numbers, and the limited access to mailboxes in multi-family buildings.
The ubiquitous fencing of residential areas makes it difficult for postmen to access properties and deliver mail. In many cases, mailboxes are located behind gates or in locked stairwells, where no one is available to let the postman in. Unfortunately, housing cooperatives and condominiums are rarely willing to provide postmen with codes or keys, or to locate mailboxes so they are easily accessible. If your postman has difficulty accessing mailboxes, it's worth reminding the cooperative or condominium to relocate the mailboxes to more accessible locations.
Poczta Polska is also requesting that building and property owners install drop-off boxes in accordance with applicable regulations or provide entry codes or keys enabling easy access. Local Poczta Polska department heads are also cooperating with municipal offices to remind residents of their obligations under the regulations.
It's worth emphasizing that there's no legal basis for a company owning a property and its headquarters building to have a mailbox on the premises. However, having one will certainly make it easier for the Post Office to deliver correspondence to the company's employees and owners, saving them time.
Rarely home? Take advantage of e-mail services.
Poczta Polska also reminds you of the possibility of using services that facilitate the collection of correspondence, such as Registered Mail to Mailbox . This service involves depositing addressed registered mail into a mailbox. Requests for registered mail delivery to a mailbox can be submitted on paper or electronically. The electronic form is available on the Poczta Polska . A paper version of the request form can be obtained at a post office or downloaded from the Poczta Polska website. Simply submit the completed form at a post office or give it to the postman.
There's also e-INFO notification – a free service that allows you to receive information about a shipment waiting at a post office. Information is sent via text message or email, depending on the customer's preference. This request can be submitted at any post office or online.
And if we prefer to handle everything online, we can set up an e-Delivery mailbox to receive correspondence, for example, from offices, electronically. And with the Polish Post's e-Polecony , we can also send correspondence safely, quickly, and electronically as part of the e-Delivery package. This service is available to companies, entrepreneurs, individuals, associations, and attorneys. To use it, an electronic delivery address (ADE) is required.
E-Delivery enables secure sending and receiving of documents with official confirmation that the message has been sent and received. As of January 1, 2025, the service is mandatory for public institutions (such as local governments and tax offices) and for professions of public trust (e.g., attorneys, legal counselors, and accountants). While e-Delivery is not mandatory for individual users, it's worth considering as it significantly simplifies matters. Thanks to e-Delivery, you no longer need to visit the post office to pick up or send important documents; the entire process can be completed online from anywhere with internet access.
Of course, if an individual doesn't want to or can't use this electronic form of communication, Poczta Polska offers an alternative: the Public Hybrid Service (PUH) . Thanks to this service, if the sender sends a document electronically and the recipient doesn't have an e-Delivery mailbox, Poczta Polska will print the document (securely and automatically) and the postman will deliver it to their home, as before.
