E-delivery is mandatory from January. What do you need to know? We explain.

As of January 1, 2025, public entities (e.g., local governments, the Tax Office, etc.) and professions of trust (e.g., attorneys, legal counselors) will be required to implement e-Delivery. Those interested in sending and receiving digital registered letters can begin preparing now. Poczta Polska (Polish Post) is providing an overview of how this service works.

In October 2021, Poczta Polska launched e-Delivery and has been providing electronic delivery services to entities using it ever since. These are digital equivalents of paper registered letters, enabling the sending and receiving of electronic documents with confirmation of posting and receipt from anywhere with internet access. Instead of receiving a delivery note, physically receiving and sending registered letters at a post office, and archiving paper correspondence, this can now be done electronically.

The service works similarly to email, but is much more secure. Thanks to unique electronic delivery addresses (ADE), assigned at the request of the Minister of Digital Affairs, we can be sure that we are corresponding with the correct recipient. As part of e-Delivery, Poczta Polska offers a public registered electronic delivery service, which enables communication with public entities, and a public hybrid service (PUH), available only to public entities.

Activating the Delivery Box – how easy it is!

The first step is to complete an application for an electronic delivery address (ADE) for citizens, businesses, or public entities. The Minister of Digital Affairs assigns an ADE, which is entered into the electronic address database (BAE) – our digital identifier, which provides certainty as to who we are corresponding with.

The next step is activation according to the instructions provided together with the information about the creation of ADE and the Delivery Box to the e-mail address indicated in the application.

During activation, you must provide an email address for notifications, where information about pending shipments, among other things, will be sent. From now on, you can send digital registered letters.

How to send a digital registered letter?

First, log in to the delivery mailbox (SD) for citizens or businesses. This can be done through, for example, a trusted profile, e-ID, or mObywatel. The panel displays all mailboxes to which you have access. Depending on your needs, this can be a personal, work, or business mailbox.

Creating a new message is very simple. Simply add the recipient for electronic delivery, enter the subject and content or attach an attachment, and send. After selecting the sent shipment, you can also download it along with the receipts. The receipt confirms that your shipment has been accepted.

Currently, the maximum size of a message with attachments cannot exceed 550 MB, and a single message can be sent to a maximum of 1,000 recipients.
