Entrepreneur, are you registered with the National Court Register? An important deadline is approaching.

Poczta Polska would like to remind you about the upcoming deadline: 1 April 2025, when the obligation to use the e-Delivery system will be extended to companies registered in the National Court Register before the beginning of this year.

The era of paper correspondence is fading away. Implementing e-Delivery is not only a step towards digitization, but also an opportunity to harness the potential of digital transformation.

Our experience so far has been positive, and the system is ready to welcome new users, offering them not only efficiency but also access to modern correspondence management tools – says Kinga Dobrzyń, director of the Office of Analysis and Digitization of Processes at Poczta Polska.

How to join the system?

Setting up an ADE box is simple, free of charge and can be done without leaving your office:

  • Log in to your Entrepreneur Account on Biznes.gov.pl. This is the first step to initiating the process;
  • Apply for an e-Delivery address. You can do this when registering your company (entry into CEIDG or KRS) or when updating your details if your company was registered before January 1, 2025;
  • Sign the application electronically. You can use a personal, trusted, or qualified signature;
  • Activate the address. Once the address is set up and activated by a public provider, it will automatically be added to the Electronic Address Database (EADB), and you will gain access to a free e-Delivery mailbox;
  • Activate your mailbox. You will receive an email with activation instructions. Once activated, you will begin using e-Delivery services – receiving and sending messages.

What's next?

With ADE, businesses can conduct electronic correspondence (legally equivalent to traditional registered mail with acknowledgment of receipt) with other entities using the system. Since the beginning of this year, the obligation to use the system has extended to various public institutions (e.g., local governments and tax offices) and professions of public trust (e.g., attorneys, legal counselors, and accountants).

e-Polecony

Using an ADE mailbox, you can also activate e-Polecony service and send and receive e-Registered letters. Unlike e-Delivery, which is intended for electronic communication with public entities, e-Registered letters are used for correspondence between non-public entities (e.g., between two individuals or a business and an individual).

Regardless of the form of business, it is worth preparing for changes and starting to use e-Delivery today.

E-Delivery is becoming mandatory for more entities. Ultimately, it aims to completely replace paper-based registered mail. To date, nearly one million e-Delivery (ADE) mailboxes have been set up, and over 11 million parcels have been sent from them.
