To ensure that mail reaches its intended recipient, it's important to ensure it's addressed correctly. If the sender is missing or the sender and recipient addresses are incorrect, the shipment becomes undeliverable and cannot be returned. In such cases, the shipments are forwarded to the Poczta Polska After-Sales Service Department in Koluszki. In 2023, the number of letters without the correct sender details exceeded 100,000.
Every piece of information has its place on the envelope. The order in which the information is written and the recipient's address is divided into consecutive address lines are crucial: the recipient's first and last name or full name (in the case of a company), the street name with the building and apartment number, or the city name with the property number, the recipient's postal code and place of residence, and the destination country for international shipments. When sorting shipments, addresses are usually recognized automatically, so it's important that the letters in the recipient's and sender's addresses are at least 2 mm high.
Your details should be entered in the sender's address field. The recipient's field should be within the specified dimensions. If using a window envelope, ensure that the entire address is clearly visible, even if the envelope's contents are moving.

What happens to undeliverable shipments?
Due to missing or incorrect sender and recipient addresses, shipments become undeliverable. They are then forwarded to the Polish Post's After-Sales Service Department in Koluszki. In 2023, the number of letters (registered and standard) sent without sender details exceeded 100,000. Such shipments also include unpaid shipments or those paid for at a lower amount than due if the sender refuses to accept the shipment or pays a return fee or additional charge.
A shipment that reaches the After-Sales Service Department is subject to a commissioned opening to obtain the necessary data for delivery or return to the sender. The After-Sales Service Department is the only department authorized to perform this type of task.
If the shipment cannot be delivered or returned to the sender, or if the recipient refuses to accept it, the correspondence contained in the shipment and its packaging are destroyed – but not earlier than 60 days after opening.
Content other than correspondence is stored for 3 to 12 months, depending on the type of shipment. After this period, if it cannot be delivered or returned to the sender, it is sent for disposal. Shipments are deemed destroyed and cannot be recovered.
Items contained in parcels subject to the Lost and Found Act are handed over to the Lost and Found Office (money, securities, valuables, items of historical, scientific or artistic value, military equipment or supplies, items that are historical or archival material) or to the Police (weapons, ammunition, explosives and all types of identity documents).
